Yearly Appropriateness

Introduction

 

This article will walk you through the process of submitting a Yearly Appropriateness (YA) assessment. Effective October 10th, 2025, users will have the ability to enter Yearly Appropriateness information for members directly within FCM. Once submitted, this data will be automatically transmitted to MAPP, ensuring seamless synchronization and reporting.

 

 

Prerequisites

 

The Yearly Appropriateness Assessment is only available for Children’s segments.

 

All user types can enter a Yearly Appropriateness Assessment when it is available on the member’s record. However, only HH Admins and DSP Admins can delete an assessment once it’s been created.

 

Note: If you don’t see the Yearly Appropriateness option for a child member, verify that the services provided in the segment details is set to children's services rather than adults.

 

 

Yearly Appropriateness Codes and Criteria

 

When submitting a Yearly Appropriateness assessment, you will be required to select an appropriateness code. For full details on available codes and their criteria, please refer to the New York State Department of Mental Health’s Yearly Appropriateness (YA) Codes and Criteria.

 

Viewing Appropriateness on Caseload Overview

 

The Caseload Overview page now includes Appropriateness tracking.


This enhancement allows you to quickly view each member’s Appropriateness Start Date and see when their Yearly Appropriateness is due.

  • Start Date – Pulled from FCM based on the date entered when Appropriateness Criteria are submitted.
  • End Date – Pulled from MAPP and represents when the Yearly Appropriateness is due.

 

Additional details:

 

  • Members enrolled before Appropriateness Criteria was introduced will show “Missing” for both dates.
  • Members who had Initial Appropriateness entered before MAPP required a start date (August 2025) will show a “Missing” Start Date but a valid End Date.
  • The Documentation Status filter uses the Latest Assessment Completed Date, not Appropriateness Start/End Dates.
  • Start and End Dates can be exported to CSV.
  • Shading logic:
    • 🔴 Red – Missing or Overdue
    • 🟡 Yellow – Due within 30 days

 

As Appropriateness assessments are completed, FCM will automatically populate these dates, and the number of “Missing” records will decrease.
